When urgent situations arise, your first priority is to the person involved. Identify the degree of urgency; then refer or take a message for one of the pastoral staff members.
Become familiar with the policies and procedures of the church.
General Job Responsibilities:
Open the office at 8:00 a.m. daily – make sure copier is on and check phone for messages.
Monitor the church reception area office – answer phones; greet visitors and church members; receive deliveries and the mail.
Interact with those in need of benevolence support – provide forms and collect necessary information as needed. Provide the Administrative Pastor with the application and information.
Support Worship Pastor – all clerical and office support, including any purchasing needs.
Assist in supporting Administrative Pastor
Mail – distribute to correct office/staff member
Update and print weekly publications.
Work with the Family / Connections Pastor and Graphics / Social Media Associate to update church website as needed
Update ACS each week with visitor and “decisions” information. Assign to a Life Group, if needed. Send out welcome and Life Group letters. Print prospect forms for Pastor and other members to follow-up with. Provide prospect information to Life Group teachers.
Maintain and update ongoing Prayer Sheet each week for printing and distribution on Wednesday nights at choir and prayer meeting.
Update and print Churchwide Announcement Sheets for LIFE group folders.
Weekly Job Responsibilities:
Since the Pastors are not in on Fridays, check if there is anything they need done before Sunday.
Monthly Job Responsibilities:
Update church wide Birthday/Anniversary list.
Run Attendance to Date reports for all LIFE group classes and print for teachers for monthly teachers meeting.
Update Matrix monthly on Planning Center for special teams.
Stock new magazines in rack next to Welcome Center monthly.
Miscellaneous:
Become proficient with Planning Center Online and TextInChurch platforms.
Maintain standing order of LIFE group literature from Lifeway; as needed. When new material comes in each quarter, sort, count and distribute among teachers.
Quarterly, update ACS with new Bible studies and keep attendance for the duration.
Order music as needed for the Minister of Music.
Give pricing and policy sheet for use of the facilities; confer with maintenance concerning room set up for receptions and custodial and sound personnel.
Support Pastoral staff as needed.
Be an awesome team player.
Perform other duties as assigned.
Qualifications & Education Requirements:
High school education minimum; some college preferred
1-2 years experience in an administrative role preferred
Preferred Skills:
Well versed on Mac and PC platforms or willing to learn
Knowledge of MS Word and MS Excel desired; Will train on other platforms.
Additional Notes:
This position reports directly to the Associate Pastor.
